Privacy Policy

Last updated: September 2026

This policy explains what personal data Textent collects, how and why we use and share it, how long we keep it, and the rights and choices you have, including regional rights.

1. Who we are and scope

Textent provides a unified messaging and commerce platform that lets you manage conversations from multiple channels in one inbox. This Privacy Policy explains how we collect, use, disclose, and safeguard personal data when you use the Service. For the purposes of applicable data protection law, Textent acts as a controller of the personal data we process about you as a user, and as a processor of the personal data contained in the messages and Connected Accounts you manage through the Service.

This policy covers our websites and the Service. It does not cover third-party services you connect, which are governed by their own policies.

4. Cookies and similar technologies

We use cookies and similar technologies as described in our Cookie Policy. You can manage non-essential cookies at any time using the cookie preferences control.

5. How we share personal data

We do not sell your personal data. We share it only as needed to run the Service, with the following recipients:

  • Service providers (subprocessors): who process data on our behalf under contract. See the Subprocessors document.
  • Payment processor: to take payment for Subscriptions.
  • Channels you connect: to send and receive your messages at your direction.
  • Legal and safety: to comply with law, enforce our terms, or protect rights, safety, and property.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy.

6. Google user data

When you connect a Gmail or Google Workspace account, Textent requests access to read, send, and organize your email and to see your basic profile (name, email address, and photo). We use this data only to show your email in your Textent inbox, send and organize messages at your direction, and provide the AI features you use within your account, such as summaries and draft replies.

Textent's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We do not use Google user data to serve advertising, and we do not sell it.
  • We do not use Google user data to develop, improve, or train generalized AI or machine-learning models.
  • We transfer Google user data to others only to provide or improve user-facing features, for security, to comply with law, or as part of a merger or acquisition, and only to subprocessors bound by contract.
  • Our staff do not read Google user data unless you give us permission for a specific message, it is needed for security or abuse investigation, or the law requires it.

Tokens that give Textent access to your Google account are encrypted at rest. You can disconnect Google at any time from Textent settings or at myaccount.google.com/permissions; disconnecting stops all further access. To erase email already synced, use the delete option for that channel in settings or delete your account, and it is removed from our systems.

7. International data transfers

We host the Service primarily in the European Union. Where we transfer personal data to a country that has not been recognized as providing an adequate level of protection, we rely on appropriate safeguards, such as the European Commission standard contractual clauses and the UK International Data Transfer Addendum, and we take additional measures where needed. You can contact us for more information about these safeguards.

8. How long we keep personal data

We keep personal data only as long as necessary. Typical retention periods are:

DataRetention
Account dataFor the life of your account, then deleted or anonymized within 90 days of account closure
Connected contentUntil you delete that channel's data in settings or delete your account; disconnecting a channel stops new syncing but keeps its history
Billing recordsAs required by tax and accounting law, typically up to 7 years
Usage and analyticsTypically up to 24 months
Support recordsTypically up to 24 months after resolution

9. Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or port your personal data, to object to or restrict certain processing, and to withdraw consent. You can exercise many of these rights from your account settings, or by contacting [email protected]. We will respond to verified requests within the time required by applicable law, and we will not discriminate against you for exercising your rights.

10. EEA and UK residents

If you are in the European Economic Area or the United Kingdom, you have rights under the GDPR and UK GDPR, including access, rectification, erasure, restriction, portability, and objection, and the right to withdraw consent at any time without affecting prior processing. The legal bases we rely on are set out in the table above; where we rely on legitimate interests, you may ask us for details of the balancing test we carried out. You may also lodge a complaint with your local supervisory authority.

11. California residents

If you are a California resident, you have rights under the CCPA as amended by the CPRA, including the right to know the categories and specific pieces of personal information we collect, the right to delete, the right to correct, and the right to opt out of the sale or sharing of personal information. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. You may exercise these rights by contacting [email protected], and you will not be discriminated against for doing so.

12. Automated decisions and AI

We use machine-learning features to suggest replies, summarize threads, and score leads within your account. These features support you; they do not make decisions that produce legal or similarly significant effects about individuals without human involvement, and you review AI Output before acting on it.

13. Children

The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, please contact us and we will delete it.

14. Security

We use technical and organizational measures designed to protect personal data, including encryption in transit and at rest, tenant isolation, and access controls. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any incident. See our Security overview for more detail.
